Overview

This guide introduces the new Approval History visualization screen within the Herzum Approval app. This screen provides a centralized location to view and analyze all your approval history, including migrated data and current application activity.

  1. Access the Herzum Approval Tab:

Open the Herzum Approval Tab within the Apps option on the top menu

  1. Locate the History Management option:

Within the Herzum Approval tab, you'll find a new section called "History Management."

Exploring the Approval History Screen

The History Management screen provides a comprehensive view of your approval activities.

Filtering

  • Leverage the advanced filtering options to refine your search based on specific criteria. Available filters include:

    • Issue Key: Search for approvals related to a particular issue.

    • Project: Narrow down history to a specific project.

    • Action: Filter by the action taken (e.g., Approved, Rejected, Pending).

    • Approval Name: Search for history action tied to a approval configuration.

    • Executor: View history based on the user who performed the action.

    • Destination Status: Filter history by the final state of the approval mapping.

    • Source Status: Filter by the initial state before the approval action.

    • Transition: Search for approvals related to a specific workflow transition.

    • Start & End Date: Define a date range to focus on a specific timeframe.

    • Commented History: When enabled, only historical actions accompanied by a comment text are shown.

 

The filters become active once the data begins to appear on the History Management table.

Data Loading and Display

The History Management screen displays data in batches of 1000 entries to optimize performance. The system continuously loads history data in the background, starting with the most recent entries. As new batches are loaded, they are added to the displayed history.

The initial loading of data might take a few moments. Once all history data has been loaded, a message indicating "100% of the history has been loaded" will appear at the screen.

 

To personalize the number of approval history entries shown per page, follow these steps:

  1. Click on the 3 dots dropdown menu located at the top right corner of the table.

  2. Select your preferred display option from the available choices: 10, 20, or 50 rows per page.

 

Downloading Data

For further analysis, you can download the filtered approval history data as a CSV (comma-separated values) file. Simply click the "Download CSV" button located on the screen.
