Approval delegation

Approval delegation is a feature that allows users with approval rights to delegate, in a specified time range, per project and issue type, their approval authority to another user

Overview

Approvers can delegate existing and new pending approval requests to another approver. Both the approver and the delegated approver can take action (Approve, Reject, or Abstain) on approval requests via email or directly on the issue. Actions taken by the delegated approver are recorded as executed by them.

Delegated Approver Limitations:

  • Approval authority cannot be further re-delegated.

How to Manage delegated approvers

The Manage delegated approvers screen allows you to perform the following actions:

  • Add delegated approvers

  • Notify Pending Approvals to the delegated user

  • Update the delegations

  • Delete the delegations

Add delegated approver

Navigate the Manage delegated approvers and press Add Delegation.

 

 

Fill up all the fields in the Add delegated approval form and press Save.

 

 

Find below the description of the fields displayed in the form:

  • Delegated User (Required): This is the username of the person who has privileges to approve or reject approval requests on behalf of the original approver.
    Note: The delegated approver cannot delegate their delegated approval rights to another user.

  • Project (Required): This is the project to which the issues pending approval requests belong.

  • Issue Type (Required): This is the issue type associated with the issues pending approval requests.

    Once the Project and Issue Type fields are filled, the Source Status and Issues fields are enabled:

 

 

 

  • Source Status (Optional): This is the current status of the issues pending approval requests.

  • Issues (Optional): This is a specific list of issue keys to which the delegation applies. By clicking the search button, a pop-up window will appear where you can select issues based on a JQL search.

 

 

 

  • Start Date (Optional) and End Date (Optional): These define the time range during which the delegated user has privileges to approve or reject approval requests.

If no start and end dates are specified, the delegation will remain active for the delegated user indefinitely, until the configuration is deleted or dates are specified.

 

  • Notify: This setting determines whether the delegated user receives notifications about approval requests:

    • Notify On: The delegated user receives the same approval request notifications as the delegator.

    • Notify Off: The delegated user does not receive any notifications.

 

Notify Pending Approvals to the delegated user

When a new delegation is created, the delegated user will receive the same approval requests as the delegator from the specified Start Date until the specified End Date, provided the Enable Delegate Approval Alerts option is enabled in the global configuration.
The delegated user is not automatically notified about approval requests that were already pending before the delegation was created.

The Send icon on the Manage Delegated Approvers screen allows the delegator to send approval request email notifications in bulk to the delegated user for all pending approvals where notifications have already been sent to the assigned approver (delegator)

 

 

Update the delegations

Navigate the Manage delegated approvers and click the pencil icon to update a delegated approval.

You can update any previously set value.

 

 

 

 

Delete the delegations

Navigate to the Manage Delegation screen and click the Trash icon.

 

 

A popup asks to confirm.

This action revokes the approval authority immediately.

How to Manage approvals delegated to me

Manage approvals delegated to me Screen

Navigate to the Herzum Approval Tab menu on your Jira menu bar and select the Delegated to Me option.

The Manage Approvals Delegated to Me screen displays all delegations where the logged-in user is the delegated approver. This screen provides details about each configured delegation, including the delegator, project, issue type, start date, and end date.
