Often times am issue in Jira will have sub-tasks associated with it. An approval or rejection of an issue will also often times be related to the sub-tasks of the issue.

Were all the sub-tasks completed? Are there any missing sub-tasks that should be added to the issue?

It would be handy to have a way to put details from the sub tasks into the email as well so that the user doesn't have to get into Jira and research the issue to decide whether to approve it or not.

A section in the email template allows you to specify if sub-tasks are shown and then the ability to select which fields from the sub-tasks should be included in the email.

How to implement the setup the e-mail template in order to put details from the sub tasks into the email

  • Navigate on JIRA ADMINISTRATION → Manage apps → HERZUM APPROVAL
  • Click the Add E-Mail Templates button or just Edit an existing one
  • Locale the Sub-Tasks option and click Show

On clicking the Cog Icon and choosing the option Sub Task Fields a screen allows to select the fields to display on the  email and establish their order via drag and drop:

Data Persistence on database

Table  AO_D195E9_CUSTOM_MAIL_TEMPLATE includes the new fields:

SHOW_SUBTASKS tinyint(1)

Admissible values for this field are:

  • 1 (the option to display sub-tasks is turned On)
  • 0 (Default)
SUBTASKS_FIELDSlongtextExpressions that identify which fields from the sub-tasks that will be included in the email
